Apology
Sometimes events do not run as planned, and it is your fault. Looking back, your conduct is regrettable, or some circumstance has prevented you from doing your best. In such cases, apologies are necessary---or your own peace of mind and for good future relationship with an offended person. The best way to handle apologies is to avoid getting into situations where you need to make them. When you have to apologize, you must be sincere, direct, and brief.
However, people who have made mistakes tend to condemn themselves too severely or describe the error too vividly, which may reinforce irritation of the other side. That reinforcement would work against the purpose of apology. The writer should apologize directly and use general terms to avoid reinforcing the unpleasantness of the mistakes. Empathy is the key to an appropriate apology. People who have the right attitude have the best chance of finding the right words. An unsolicited (自愿的、主动的) letter of apol­ogy removes a barrier or even preserves a business relationship.
Congratulation
Sending letters of congratulation provides a very good way for business­men to build goodwill, for they are always positive. How delighted you would be if you received a letter of congratulation!
There are many situations calling for congratulations, such as election, promotion or other significant achievements. Therefore, the letters of con­gratulation are in order 合乎时尚的). The guidelines for such letters are very simple:


Begin with the reason for writing. You should present the congratula­tions at the first part of the letter.
Tell how you learn about the good news and make the reader feel cer­tain that he/she deserves the praise.
•        End the letter by using an encouraging and conversational tone.

Letters of congratulation are usually brief and prompt. Be sure to send the letter within a few days after the event; otherwise, all your efforts will be fruittless.
The following two letters are written according to the writing principles mentioned above. Now read the letters and figure out how the writing prin­ciples are applied in them. The questions after the letters might help you accomplish the task.
Letter A   Apologizing for bad manners
        Dear Mr. Peter:
In order not to have any misunderstanding between us, please accept my apology for the manner in which our security officer spoke to you this morning.
Our security officers had been instructed to keep certain parking spaces open for company officers, but they should have remembered their obligation to be courteous1 and helpful. The chief of security has already disciplined the officer, asking him to attend the human relations seminars.
When you call at our offices again, you can expect effi­ciency and courtesy, which have been our goals for the past 12 years.

                                        Letter B    Congratulation on promotion
    Dear Mr. Stewart:
Please accept my warmest congratulations on your pro­motion to general manager!
We have just learned that you have been appointed to this position. It came as no surprise to us in view of your unusual abilities. You deserve8 the position after years of service in the company. Your experience in this field will surely bring in more profits for your company. We are sending you our best wishes for the future.
Through 3 years of working with you, many of us know clearly how much you have contributed to building the relationship between our two corporations. You also have come to know us well during the past 3 years, and we are ready to offer you the same service in the days ahead.
We look forward to the continuing growth of your com­pany under your enlightened leadership.

Sample 9-2    Apology for delayed goods

Dear Mr. Peter:
I write to apologize for the delay in delivering your order 26, dated 16 August.
We have had some problems in obtaining imported component parts for our Toyota range but are now in the process of changing to a home-based supplier.
Accordingly, we expect to be able to forward your or­der to you within the next two weeks. You'll find our Toyota range products satisfy your need.

Sample 9-3    Congratulation on good performance
